Voxman is built for contractors. We collect only what we need to run the service, we do not sell your data, and we give you control over the projects, logs, and documents stored in your account.

Information We Collect
When you create a Voxman account, we collect your email address and the company name you provide during onboarding.
When you use the app, we store the data you create: projects, field logs (text, voice recordings, photos), documents, and client records. This data is stored in your Voxman account and is associated with your company.
We collect this information when you enter it, upload or capture files, record audio, send an AI chat message, or ask Voxman to generate or analyze content.
After you explicitly allow AI processing, voice recordings you upload to project logs or submit for transcription may be sent to OpenAI. Transcribed text is stored as a field log entry. You can delete any log entry and its associated media at any time.
We collect basic usage telemetry, such as feature usage and crash reports, to improve the product. This data is never sold.
How We Use Your Information
To provide and operate the Voxman service, including storing your projects, generating AI-assisted document drafts from your field notes, and producing your estimates, quotes, and invoices.
After you give permission, to automatically transcribe or describe eligible project-log attachments, process voice notes, analyze files, answer AI chat requests, and generate document drafts. Your content is used to generate results for you and is not used by Voxman to train AI models.
To send transactional emails such as account verification and password reset. We do not send marketing email without your explicit consent.
To diagnose and fix bugs, and to understand which features are most useful.
Data Storage and Security
Your data is stored in Convex, a cloud database service. File attachments such as photos and audio are stored in Cloudflare R2 object storage. Both services use encryption in transit and at rest.
Access to your company data is controlled by role-based permissions. Only authenticated members of your company can access your projects and documents.
We retain your data for as long as your account is active. If you delete your account, we will permanently delete your data within 30 days.
Third-Party Services
Authentication is handled by WorkOS. We share your email address with WorkOS solely for the purpose of authenticating your identity.
Convex stores and processes account, company, project, client, log, document, and subscription-access data used to operate the service. Cloudflare R2 stores files you upload or capture, including photos, videos, audio, and documents.
RevenueCat receives account identifiers, purchase receipts, and entitlement information to verify subscription access. PostHog receives product-usage and diagnostic events used to improve reliability and understand feature usage.
Voxman asks for your explicit permission in the app before sharing personal or business data with third-party AI services. You can decline and continue using features that do not require AI processing, or withdraw permission later from Settings > AI Data Sharing.
Google Gemini processes AI chat messages and relevant context needed to answer them, which may include company settings, project and client details, field logs, documents, pricing information, and eligible photos, videos, PDFs, or other files you upload to project logs or ask AI to analyze.
OpenAI processes audio recordings you upload to project logs or submit for transcription.
Vercel AI Gateway routes some file-analysis requests to Google Gemini and receives the same request and file content while routing those requests.
Tavily processes web-search queries created while answering your AI request. Those queries may include relevant project location, scope, or pricing details.
These providers process the data to return results requested by you. Under our provider terms and configuration, submitted content is not used to train their general-purpose models. We use providers under contractual terms and data-protection commitments designed to provide the same or equivalent protection described in this policy.
We do not sell, rent, or share your personal information or business data with third parties for advertising purposes.
Your Rights
You can delete individual records, including projects, logs, documents, and clients, from within the app at any time.
To permanently delete your account and all associated data, open Voxman Settings and choose Delete Account. If you cannot access the app, contact us at privacy@voxman.app. We will complete the deletion within 30 days and confirm via email.
If you are located in the European Economic Area, you have rights under GDPR including the right to access, correct, and erase your personal data. Contact us to exercise these rights.
Changes to This Policy
We may update this policy as the product evolves. When we make material changes, we will update the last updated date at the top of this page and, where appropriate, notify you by email.
Continued use of Voxman after changes are posted constitutes acceptance of the updated policy.
